Katamereka Tools – Visa forms, rental applications, and expense reports love one thing: a single PDF. On a Mac you can merge files offline with Preview, and on Windows or any other computer, Adobe’s free web tool does it without an account.

This guide follows Apple‘s Preview User Guide and Adobe‘s official merge page, both checked October 27, 2026. It covers whole files, single pages, and what to do with the result.

Before You Merge

A minute of prep saves a redo.

  • Put the files in the order you want, and rename them 1, 2, 3 if that helps.
  • On a Mac, duplicate the originals first. Apple notes Preview saves changes automatically, so File > Duplicate keeps a clean copy.
  • Keep anything sensitive offline when you can, since web tools have to upload your files.

Merge PDFs on a Mac With Preview

Preview, the built-in PDF viewer on macOS, combines files by dragging pages between sidebars, per Apple’s Preview guide.

  1. Open the first PDF in Preview.
  2. Choose View > Thumbnails to show the page sidebar.
  3. Drag the second PDF’s icon from Finder into that sidebar.
  4. Drop it at the end, or between pages, then drag thumbnails to reorder.

To add only certain pages, open both PDFs with thumbnails showing. Command-click the pages you want, then drag them into the other file’s sidebar.

Say you need a signed contract plus just page 3 of a bank letter. Drag that one thumbnail across instead of attaching the whole letter.

Merge PDFs on Windows or Any Browser

Adobe’s online tool merges files for free, with no watermark and no sign-in needed to download, according to Adobe.

  1. Open Adobe Acrobat’s Merge PDF page in your browser.
  2. Click Select files, or drag them in.
  3. Drag the files into order; the top one comes first.
  4. Click Merge files, then download the result.

The limits are generous. Adobe allows up to 100 files per merge, up to 500 pages per file, and up to 1,500 pages in the finished PDF.

Adobe says files are deleted permanently unless you sign in and save them. Rearranging individual pages after merging, though, requires signing in.

Check the Merged File

Open the result and scroll through every page before you send it.

Look for pages in the wrong order, sideways scans, and blank backs of double-sided pages.

If the Merged PDF Is Too Big

Combining scans can push a file past an email or upload limit.

Compress it afterward rather than before, so you only do it once. Our guide to compressing a PDF for free covers Preview’s Reduce File Size filter and Adobe’s free compressor.

If a form still rejects it, check its page limit too. Some portals cap the number of pages, not just the megabytes.

Next time you scan a stack of documents, scan them into one PDF from the start.
